Receiving in Nexus updates the same orders and inventory in your Fishbowl database. Items received here are added to Fishbowl right away.
The Receiving module is where users will take in stock that has arrived and add it to inventory. This includes purchase orders, as well as transfer orders and credit returns coming back in.
The Receiving module can be found under the “Purchasing” section on the home page or in the sidebar.
When users open the module, they will see a list of orders waiting to be received. Users can search for a specific order number.
Selecting an order will open it. Here users will see the order number, date issued, status and vendor, along with each line item’s quantity, unit of measure and scheduled date.
Receiving an Order #
To receive items, select the line item and enter the quantity that arrived.
Next, choose the location the items are going into. If the part is tracked, users will also enter the lot or serial number.
Once the items are received, they will be added to inventory.
- Orders do not have to be received all at once. Users can receive part of an order now and the rest when it arrives.
Partially Receiving an Order #
Orders do not have to be received all at once. If only part of a delivery arrives, users can receive what came in now and the rest when it arrives.
To partially receive, select the line item and enter only the quantity that arrived. Choose the location and any tracking as usual, then receive it.
The items that arrived will be added to inventory. The order will stay open, with the remaining quantity still waiting to be received.
When the rest of the delivery arrives, open the order again and receive the remaining quantity. Once everything has been received, the order will be complete.
If an item arrives damaged, users can put it on hold instead of receiving it.
Using the Assistant #
Users can also ask the assistant to help with receiving, for example:
- “What’s still left to receive on PO 4521?”
- “What came in today?”
- “Read this vendor invoice and check it against PO 4521.”
The assistant can read a packing list or invoice that users drop in. [Confirm: whether the assistant can receive items.]
