Purchase Orders

2 min read

Purchase orders in Nexus are the same purchase orders in your Fishbowl database. Any changes users make here are saved directly to Fishbowl.

The Purchase Orders module is where users will create and manage orders to their vendors.

The Purchase Orders module can be found under the “Purchasing” section on the home page or in the sidebar.

When users open the module, they will see a list of their purchase orders. Users can search by PO number or vendor, or filter by status.

Selecting a purchase order will open it. Here users will see the vendor, status, fulfillment date, addresses and every line item on the order, with its quantity, unit cost and total cost.

Creating a Purchase Order #

To create a new order, users will select the new purchase order option and choose the vendor. The order will automatically be given the next PO number.

  • A new purchase order starts with a status of Bid Request. This lets users build the order and confirm pricing with the vendor before committing to it.

Next, users can set the fulfillment date and add the parts and quantities to order.

Once the order is ready, users will issue it. Issued orders are ready to be received in the Receiving module.

Other Actions #

  • Unissue an order to make changes, or void it if it is no longer needed.
  • Duplicate an order to create a similar one quickly.
  • Delete an order that hasn’t been received.
  • Auto-generate purchase orders based on parts’ reorder points.

Using the Assistant #

Users can also ask the assistant to draft purchase orders, for example:

  • “Draft a PO to Acme for 50 BRK-200.”
  • “When is PO 4521 supposed to arrive?”
  • “Show me all open POs for Acme.”

The assistant will show each order as a draft first. Nothing is saved to Fishbowl until the user selects Create in Fishbowl.
