Sharpe Concepts LLC, doing business as LilyPad Applications (“LilyPad”, “we”, “us”), builds inventory and warehouse software that connects to ERP systems such as Fishbowl. This policy explains what we collect, why, and what we do with it. It covers this website and the LilyPad customer portal at portal.lilypadapplications.com.

Sharpe Concepts LLC is the data controller for the personal information described in this policy.
What we collect
Account information. When you are given access to the LilyPad customer portal we store your name, email address, an encrypted (hashed) password, and your role within your company’s account. We never store your password in a readable form and cannot recover it.
Company and billing records. We store your company name, the subscriptions attached to it, invoices, and renewal dates.
Payment details are not held by us. Card payments are processed by Authorize.Net. We store only the tokens Authorize.Net issues in place of a card number, which let us bill an authorised subscription. We never see or store your full card number, expiry, or security code.
ERP connection settings. If you connect a LilyPad product to your ERP, we store the address of that system and the credentials you supply so the product can reach it on your behalf. These are used only to perform the operations you have asked the product to perform.
Enquiries you send us. If you complete a form on this website or start a live chat, we receive what you put into it — typically your name, email address, company and your message — so we can reply and keep a record of the conversation.
Technical logs. Our servers record ordinary operational data — timestamps, IP addresses, error traces — used to keep the service running, diagnose faults, and detect abuse.
Website analytics. This website uses Google Analytics (via Google Site Kit and Google Tag Manager) to understand which pages people read. You can opt out using Google’s browser add-on at tools.google.com/dlpage/gaoptout.
Cookies
This website sets cookies and similar identifiers for three purposes: keeping the site working and secure, remembering your preferences, and measuring traffic through Google Analytics. Our live chat and our anti-spam checks also set identifiers so a conversation persists and so automated submissions can be told apart from real ones.
You can block or delete cookies in your browser settings. Blocking them will not stop you reading the site, but parts of it — live chat in particular — may not work.
Data we collect about our own marketing, not about you
We use the Google Search Console API and the Google Ads API to read performance data about LilyPad’s own website and advertising — which search terms bring people here, and how our ads perform. This data belongs to our accounts and describes our own marketing. It is aggregated by Google and identifies no individual. We do not use these APIs to access anyone else’s advertising account, and we do not act as an advertising agency for our customers.
Why we use it
- To provide, operate and support the products you subscribe to
- To authenticate you and keep your account secure
- To bill you and keep accurate financial records
- To contact you about your subscription, renewals, outages and changes to the service
- To respond to enquiries you send us
- To diagnose faults and improve the products
- To meet our legal and accounting obligations
We do not sell your personal information, and we do not share it for advertising.
Who we share it with
We share data only with the service providers needed to run LilyPad, and only what each needs:
- Authorize.Net — payment processing
- Google — website analytics and tag management, and the Search Console and Ads APIs for our own marketing data
- Tidio — the live chat on this website, including the messages you send in it
- Brevo — delivery of transactional email such as password resets and invoices
- hCaptcha — checking that form submissions come from a person rather than a bot
- Akismet — filtering spam out of form submissions
- Wordfence — website security monitoring and blocking malicious traffic
- Our hosting provider — servers and backups
We may also disclose information where the law requires it, or to protect our rights, our customers, or the safety of others.
Where your data is processed
LilyPad is operated from the United States, and our servers are located there. Some of the providers listed above operate in other countries. If you are contacting us from outside the United States, your information will be transferred to and processed in the United States, where privacy laws may differ from those where you live.
How long we keep it
Account and billing records are kept for as long as your account is active, and afterwards for as long as tax and accounting law requires. Operational logs are kept for a limited period and then deleted on a schedule. ERP connection credentials are deleted when you remove the connection or close the account.
How we protect it
Data is transmitted over encrypted connections. Passwords are hashed. Access to production systems is limited to staff who need it. No system is perfectly secure, and we do not claim otherwise — but we treat credentials and payment tokens as the sensitive material they are.
Your rights
You may ask us to see the personal information we hold about you, correct it, or delete it. Deletion may be limited where we are legally required to keep records, such as invoices. Write to info@lilypadapplications.com and we will respond.
Depending on where you live, you may have further rights under laws such as the GDPR or CCPA, including the right to object to processing or to complain to a supervisory authority.
Children
LilyPad is business software. It is not directed at children and we do not knowingly collect information from anyone under 16.
Changes
If we change this policy we will update the date at the top of this page, and tell account holders directly if the change is significant.
