Creating a Sales Order #

To create a Sales Order as a salesperson or admin, a customer must first be selected. You will then see the shopping cart appear in the top right, meaning you are ready to build the order. Customers do not have the option to select a customer — they only see their own name appear to make the order for.

Add items to the cart by entering the product number, description, or UPC. You can browse through the “Categories” tab or use the search bar to find items. Search bars are available on the home page, in the shopping cart, and within the Categories tab.

Once you have all the products you want in the cart, move to the checkout page. The checkout page lets the user select or change shipping, billing, payment methods, and locations. Review your order and click Place Order to submit it. Some settings under Sales Orders and Customers affect what is displayed on the checkout page.

Adding Notes to Sales Orders #

Notes can be added to orders when the “Order Notes on Cart Page” setting is turned on (found in the Sales Order settings). This setting takes the notes written on the shopping cart page and auto-populates the notes box on the checkout page.

Notes can be found in Fishbowl within the submitted sales order: click the sales order, then click “Details.” When you print or review the sales order, notes appear under the “Bill To” section.

Creating a Quicklist #

Quicklists are found next to the customer’s name and auto-populate the shopping cart with the products in the list.

To create a Quicklist in Fishbowl: first create a sales order for the customer you want and add all the necessary items. Right-click any item and select “Add Items to QuickList.” Enter a name for the new list or select an existing QuickList, then add all the items you want. Item quantities can be changed by clicking the “QTY” section. Select “Finish” to complete the Quicklist — this saves it for the customer in both Fishbowl and LilyPad.

Creating a Custom Field #

Custom Fields can be applied in the Sales Order, Transfer Order, and Products settings. To create one in Fishbowl, go to the “Setup” module and click “Custom Field.” Click “New” at the top left to begin, then fill in the necessary information.

The module you select determines where the custom field appears in Vortex. (For example, if the module selected is Sales Orders, that custom field only appears in the Sales Order settings.)

Note: Clear the Site Cache to update Vortex if any created custom fields are not appearing.

Adding a Location Group #

Location Groups are used when the “Fulfillment Location” setting in the Sales Order settings is on. To create a Location Group in Fishbowl, go to the “Setup” module and select “Location Group.” Click “New” at the top, choose a name, and add members. The Location Group can be found at the bottom left of a selected sales order in Fishbowl.

Creating a New Class #

Class is found under the Accounting module in Fishbowl. Click “New” at the top left and fill in the pop-up to create a class. You can also make a sub-class for any existing class.

Adding a Class to a Customer #

To apply a class to a customer, go to the Sales module and select “Customer.” Go to the Details page for the selected customer and choose the class you want to assign. Click Save at the top left to apply it.

Users can check a customer’s class in Vortex by clicking the white bars in the blue box next to the customer’s name.

Entering Text in a Memo #

Memos can be created when the “Memo” setting in the Sales Order settings is on. When active, a text box appears on the checkout page where you can place any message to accompany the order.

When something is entered in the Memo text box in Vortex, it is visible in the Fishbowl sales order under “Memo.” Unlike the “Notes” box, text entered in “Memo” does not appear on the sales order report — it only appears on the order in Fishbowl.
